As an employee of Department of Education Victoria - Northern Region Secondary Schools Network, you and your immediate family members are eligible for Fitness Passport. This will enable you and your family members to use multiple gyms and pools in the area at a very low cost.

 The major benefit of Fitness Passport is that you can use as many of the facilities as often as you like. You’re not locked into just one facility and the prices are generally cheaper than the price of a standard gym membership at one facility. 

 When you sign up you will be given an ID card which you can take to all or any of the fitness facilities listed on your program. That is, you can go to the gym closest to work through the week or use the gym closest to home on the weekend. If you have a family membership, your immediate family members will also receive their own card and be able to do the same.

ELIGIBILITY 

Staff members can sign up for either a single or family membership. 

SINGLE MEMBERSHIP Criteria: 

Generally, eligible employee applicants are: 

  • Full time permanent employees. 
  • Part time permanent employees. 
  • Contract/Temporary employees who are paid by the organisation's payroll department and have at least 3 months consistent working history (or at least 6 months remaining on their existing contract) 
  • Casual employees who work more than 20 hours per week and have at least 3 months consistent working history 

 

FAMILY MEMBERSHIP Criteria: Provided that the Single membership is met, Family members need to meet the following to be eligible: 

  • Partners may be married or unmarried but must reside at the same address as the primary member and must be a genuine partner – i.e. NOT a flatmate or friend. 
  • Dependant children under 18 years of age must reside at the same address as the primary member. 
  • Dependant children that are aged between 18 years and up to 25 years must reside at the same address as the primary member and must be financially dependent on the primary member (e.g. studying full time or a recipient of a Government benefit). Each eligible dependant that is aged between 18 years and up to 25 years old is charged at an additional single membership rate. 
  • Primary members may be required to show evidence to fulfil these requirements. 

 

If you have signed up to a single membership and wish to add a family member, you can do this by following these steps: 

  • Log into your account at www.fitnesspassport.com.au 
  • Click on the ‘Family Member Details’ tab 
  • Click on the ‘Add Family Member’ button 
  • Enter the relevant details (and remember to upload a photo while you’re there!) 
  • Click on the ‘Add Family Member’ button again 

Check the list of gyms very carefully!! Pay particular attention to the LOCATIONS of the gyms in the case of big franchises. You only have access to SPECIFIC locations of these facilities. 

If you try and use your Fitness Passport at other locations that are not involved in the program, your access to ALL of the gyms may be in jeopardy and may be cancelled. If you try and use a place that is NOT on the list, that club may also not allow you entry and it may be embarrassing. PLEASE READ THE LIST VERY CAREFULLY AND BE AWARE OF WHICH LOCATIONS YOU CAN USE!! 

To access some facilities, Fitness Passport members must purchase an electronic out of hours access for a small fee paid directly to the gym on their first visit, as the electronic key permits access. Fees may vary depending on the location. Some facilities also use this type of key to keep a record of visitation and will therefore require this key to be purchased whether you intend to use the gym outside of hours or not some also require an admin one off payment. We recommend you check with the gym you intend to use to verify any additional once off cost. 

If the gym you use is part of a club (e.g RSL club) you will need to be a member of that club if you aren’t already (this is usually less than $10 per year). 

To use facilities located on University grounds you may be required to be a member of the student union which you can do on your first visit if you aren’t already. 

Membership is for a minimum of 12 months and in that time you can increase from single to family but not from family to single (after 12 months you can do whatever you like though!). 

For specific rules around exception to the 12 month minimum contract term please refer to the Fitness Passport Terms & Conditions. 

If you are leaving employment you are no longer eligible for the Fitness Passport program. Upon termination you need to return all Fitness Passport membership cards (including family members) to your facilitator for cancellation or contact info@fitnesspassport.com.au. It is your responsibility to return your cards to your facilitator, failure to return the cards will result in additional charges. 

If you have completed your 12 month minimum contract period and wish to cancel you can return all Fitness Passport membership cards (including family members) to your facilitator for cancellation or contact info@fitnesspassport.com.au. As soon as the cards are received or proven to be destroyed your account will be made inactive and no further payments will be deducted. 

If you are still within your 12 month minimum contract period and wish to cancel please contact your facilitator or contact info@fitnesspassport.com.au for further advice. Depending on your situation you may or may not have to pay a cancellation fee as per the terms and conditions. 

You may suspend your membership for a minimum of 2 weeks and a maximum of 2 months without documentation, but only for a maximum of 2 months per calendar year. If you need to suspend your membership for longer than 2 months, you must supply evidence in the form of a flight itinerary or doctors’ certificate (or other relevant documentation). Fitness Passport will then have full discretion as to whether your suspension is approved. Payments will be suspended during this time. Partial suspensions of memberships are not permitted. All members of the membership will be suspended for the full duration approved. Suspension will not be backdated. For more information please email info@fitnesspassport.com.au. 

Cards are produced weekly and will be posted to employees via Australia Post and will be delivered to the nominated address entered into the system at the time of registration. 

The first payment is an administration fee (including the cost of making and sending the membership card), your card will be available from or prior to the date of the second payment. 

 

1. If I join up, do I have to choose which gym I want to use and stick to it? 

Absolutely not! The beauty of the program is that you can access any/all of facilitates on the program by presenting your Fitness Passport card. You can visit the gyms and pools as often as you like. Members often like to find facilities close to work during the week and close to home for the weekends. 

2. Does the program include group exercise classes? 

It sure does. Classes like Step, Body Pump, Yoga, Body Attack, Zumba and many more are all included. The types of classes depend on which gym you go to. It’s a good idea to check with the gyms that you would like to visit to find out what the group fitness schedule is like. 

3. I’m already a member of a gym and I want to join this program – what should I do? Firstly, do not cancel your current gym membership yet! This program is not guaranteed unless we get the numbers but here is what you should do. If you are outside of your contract period, register online. If the program is approved, we will give you approximately 2 weeks’ notice so you can cancel your existing membership. If you are within your contract period with your gym, we suggest you do not cancel EXCEPT if you want a Fitness Passport membership in addition to your gym membership (which many people still do so they can access the pools or facilities for their family members). 

4. This program doesn’t interest me much – why should I join? 

If you don’t like it, someone in your immediate family probably will. Even at the family rate, you will pay less on this program than you would ordinarily pay for a single gym membership. Remember this program gives you access to multiple gyms and pools - so this far outweighs the value of any membership to a single facility. 

5. If I have a family membership, does that mean my whole family could go to the pool? 

Yes. Each person receives a Fitness Passport ID card, which means every person included on the program may enter the same facility at the same time (or different facilities at different times). It is perfect for fun, fit, family time at the pool. If it’s a bit chilly to swim at the moment remember the summers are long and hot - don’t miss out. 

6. The gym/pool I want isn’t on the program - Why should I join? 

The gym or pool you want could well be on the program in the future. We will review the program facilities in due course and you may find your preferred facility is included at a later date. If there is a particular facility the majority of employees want to add we will attempt to get them on the program. Remember, there are multiple facilities to choose from and we would encourage you have a look at the full list as you may find a new place to call home, that meets all your fitness needs. 

7. This sounds a bit too good to be true - What’s the catch? 

There is no catch. Your employer is committed to providing staff with an incredible wellness program, giving you the chance to get fit and healthy for a fraction of what it would normally cost. 

Many government organisations and some private companies have access to this program and employees seldom leave it because they are thrilled with the benefits they receive. If we don’t reach the target registrations by our signup deadline the opportunity will go to another organisation on the waiting list. 

8. What is the privacy policy of Fitness Passport? 

 Fitness Passport protects your information with the most up to date systems of data encryption and storage. We will not divulge your financial information to any third party without your express consent. 

9. I see there are a number of gym franchises and companies on the program – can I go to all of them? 

NO you need to check the list of gyms very carefully!! Pay particular attention to the LOCATIONS of the gyms in the case of big franchises. You only have access to SPECIFIC locations of these facilities. 

If you try and use your Fitness Passport at other Anytime Fitness locations that are not involved in the program, your access to ALL of the Anytime Fitness gyms may be cancelled and you will not be able to use them. If you try and use a Fitness place that is NOT on the list that club will not allow you entry and it may be embarrassing. PLEASE READ THE LIST VERY CAREFULLY AND BE AWARE OF WHICH LOCATIONS YOU CAN USE!! 

10. How do I access the gyms and pools? 

Simply show your card when you visit the gym or pool. You will either use the card to scan in on a Fitness Passport scanner at the reception area of the gym or sign a register at reception. 

DO NOT leave your membership card at the gym or pool reception as you are liable for any misuse by unauthorised card holders. 

Some gyms will issue you with one of their cards when you go. That gym card will then be the only card you need to access that particular facility from then on. 

 11. I am not interested in going to the gym/pool but my partner is. Can I just purchase a single membership for him/her instead? 

No. You must purchase a family membership in order for your partner to use the program (but this will still likely be cheaper than joining the gym directly). 

12. I live with my parents/siblings/grandparents/relatives/flatmates. Can I put them on the program under a family membership? 

No. The program is only available for employees, their partners and dependent children living at the same address. 

13. My child is 23 and is dependent. Can I put him/her on the program under a family membership? 

Yes. However, dependent children between 18-25 years old will cost an extra single membership rate per week per child. The child must also reside at the same address and be a full time student and you may be required to show evidence of this. 

14. Can I leave the program at any time? 

You can leave the program any time after the first 12 months of signing up. After you sign up, you must stay with the program for a minimum of 12 months. If you leave your employment within this 12-month period then your membership will automatically expire but you MUST return your ID card(s) to your workplace coordinator before payments cease. 

15. What happens if I get injured and can’t use the gym/pool? 

 If you are injured and have a doctor’s certificate you can elect to postpone your membership. Cancellation will be at the discretion of Fitness Passport. 

16. What happens if I go on maternity leave? 

 You can continue to use the program while you are on leave. Alternatively you can suspend your membership until you get back to work. 

17. What happens if I go on annual leave? 

 You can suspend your membership, see above under suspension 

18. What happens if I am no longer employed? 

 If you leave your current employer you are no longer eligible for the program and you are required to return your cards to your workplace facilitator for cancellation of your account (you may email a photo of the destroyed membership card/s (cut through the barcode) to either your workplace facilitator or info@fitnesspassport.com.au). 

Until all applicable membership cards are returned, payments will still accrue and be payable by you. If you have lost any or all of your Fitness Passport membership cards, a Lost Card Declaration will need to be completed & returned to your Workplace Facilitator. For further information on cancellation of your membership please refer to the current Fitness Passport Terms & Conditions. 

19. I went to one of the gyms on the program and they said I had to pay a one-off membership fee. I thought the passport entitled me to free access? 

In most cases it does. Some gyms on the program (mostly 24/7 ones) also ask for a fee irrespective of the Fitness Passport which buys you your electronic key. Even if you pay this, you still receive a very large discount to standard prices. Please note – any extra payments made to the gyms are between you and the gym. Fitness Passport does not receive any commissions or the like and has nothing to do with these extra payments. If the gym you use is part of a club (e.g RSL club) you will need to be a member of that club if you aren’t already (this is usually less than $10 per year). 

20. My children live with me although we have alternative child care arrangements due to divorce/personal family circumstances. Can they still be on the program with my family membership? 

If you can prove that your children do reside with you then yes (evidence may be in the form of school reports for example). If your children do not reside with you then they cannot be part of the program, they must be dependent AND live at the same address to be eligible. 

21. How are payments to Fitness Passport processed? 

Membership fees are debited on a fortnightly basis (generally on the Friday). Fortnightly direct debit from a nominated bank account is the only payment option available. 

 

22. I have read through these FAQs, but still have a question. How can I find out more about my membership, or the Fitness Passport program in my workplace? 

Check the information that has been made available in your workplace regarding the program. Failing that, your workplace facilitator will be able to answer most of your questions.
